Privacy notice for the United Curriculum site

This notice is intended to provide information about how United Learning will use or “process” personal data about individuals including current, past and prospective customers (referred to in this notice as “customers”). 

Responsibility for Data Protection 

The Data Controller is United Church Schools Trust (UCST).  UCST is registered with the Information Commissioner’s Office (ICO),registration number  Z533407X. United Learning is an operating name of United Church Schools Trust. 

The Company Secretary is the Data Protection Officer (DPO) and is responsible for ensuring that United Learning Curriculum complies with the Data Protection Law.  They can be contacted on company.secretary@unitedlearning.org.uk or 01832 864538. 

The Director of Curriculum is responsible for ensuring that the United Curriculum complies with ULT and UCST policies and procedures in relation to Data Protection.  They can be contacted at curriculumsupport@unitedlearning.org.uk. 

Why we collect and use Personal Data about customers and potential customers: 

United Learning collect and hold personal information and use this personal data to enable us to: 

  • respond to your query
  • create and maintain your account
  • provide you with access to the curriculum site
  • communicate with you about your account
  • share relevant information about United Curriculum
  • let you know if there’s a security issue concerning your data
  • analyse service usage data 

It is not possible for us to undertake the above actions or to give you access to United Curriculum without your personal information.   

The categories of personal data held on those who contact us:  

If you contact us directly by:  

  • Creating a sample account
  • Completing our enquiry form
  • Requesting a sales quote on behalf of your organisation.  

We will hold the below personal data information:  

  • Name (First name and surname)
  • Email Address
  • Phone Number (If provided)
  • Place of work (If provided)
  • Job Role (If provided)
  • Marketing Preferences 

The categories of personal data held on for customers:   

This is information is either provided to us by you or by a member of the SLT member in your school or Trust. Wherever possible this information is provided from your school MIS via Wonde to ensure its accuracy. Access to our website is assigned to you using your work email account. 

We will request the below information all customers:  

  • Name (First name and Surname)
  • Email address (school or work email address)
  • Place of work 
  • Job role 

We will also ask customers to identify three individuals to the below roles within their organisation:  

  • Contract signer (the person with the authority to sign a contract for purchase of United Curriculum packages) 
  • Finance contact (to receive invoices and related correspondence). 
  • Curriculum lead (to receive essential information on the curriculum and functionality of the site).  

Under the UK GDPR, the lawful basis we rely on to process customer information is: 

Legitimate interest as we use your data to create your account and communicate about the curriculum.  We will also send you marketing communications about other United Learning products if you provide us with explicit consent. 

How we use your personal data 

If you complete a form to access a free trial, we will use the information you provide to configure and maintain your account.  If you request support, we will use the information you provide to contact you with a response. 

If your school is a customer of United Curriculum, we will use the information provided to us to configure and maintain your account. If you request support, we will use the information you provide to contact you with a response. 

If you choose to subscribe to receive updates and information about the curriculum or information on other products you are consenting to us sending you these communications.  You can withdraw your consent at any time by selecting unsubscribe on any of our communications or by emailing the DPO at the email address above.

Data Retention Periods

We will hold your information for the following periods of time: 

  • Customer – 12 months after you cease to be a customer.
  • Enquiry Only – 12 months after the enquiry date or a trial account was created. 

Data Security

We treat customer data with the highest security standards in mind, which is why we regularly review our security processes and the measures we put in place to protect systems where data is stored. We carry out the completion of cyber security questionnaires as a necessary part of the DPIA process as it allows us to assess the systems where our data is stored.

Data Processors

We use third party data processors to provide us with a variety of services[1].  This use of data processors will only take place if is in compliance with the UK GDPR and the Data Protection Act 2018 (and any subsequent legislation related to data protection in applicable jurisdictions). 

Decisions on whether we contract with these third-party processors are subject to a robust approval process and are based on a detailed assessment of the purpose for which the data processing is required, the level and sensitivity of data involved and the arrangements in place to store and handle the data. 

We currently use the following data processors: 

Microsoft Office Suite, Freshdesk, MAKE, PDF Butler, Salesforce, Campaign Master and Wonde. 

Rights of the Data Subject

Data protection legislation gives individuals certain rights which are detailed below.

Right of access to personal data “subject access request”

You have the right to access the personal data that United Learning holds about you.  Requests need to be made in writing.  We take the security of personal data seriously so we may ask you for proof of identity to verify that you are entitled to the information requested.  

Right to withdraw consent

Where we have obtained your consent to specific processing activities you may withdraw this consent at any time by contacting curriculumsupport@unitedlearning.org.uk .  

Right to rectification 

You have the right to have the personal data that we hold about you rectified if it is inaccurate or incomplete. We will respond to such requests within one month. 

Right to erasure 

You have the right to have personal data erased in certain specific circumstances.  If you make such a request, we will consider whether the right to erasure applies and give you a full and reasoned response.  

Right to restrict processing 

In certain circumstances you have the right to request that we restrict the processing of your personal data.  If you make such a request, we will consider whether the right to restrict processing applies and give you a full and reasoned response.
